So, you've amassed quite the collection of software seats (Look at you!), but now you're staring at a long list of names and a little bit of order is required. Perhaps teams can help?
What are teams?
Teams are simple groupings that you can assign your licenses to. They can be used for different companies, subsidiaries, departments, locations, projects or whatever structure your business may require. The main benefit of Teams as opposed to Groups is that each Team can have a different 'secondary admin' who is able to manage the subscriptions for their own localised area, but the purchase and renewals are still handled centrally for the organisation as a whole.
How to Create a Team
- Within manage.autodesk.com, navigate down to 'By User' or 'By Product' (Under User Management).
- In the top right, click on the Settings / gear icon
- Again in the top right, from the dropdown menu labelled 'Actions', Click on 'Create Team'
- Add in your new team name and click 'Create Team'
Managing Teams
Now that you've created your shiny new team, there are few things you can do to make it effective.
Add Users to a team
- Under User Management > By User or By Product
- At the top of each page, there will be a dropdown called 'Teams'. Select the team you wish to add users to and,
- Go about the usual process of Adding Users.
Assign Admins to a team
Primary admins are special, there can only be one.
There can be multiple Secondary Admins assigned (Eg. one for each team).
- Still in User Management > By User, select the team first.
- From the list of users within, find your chosen delegate and assign as secondary admin.
NOTE: You can't change the one primary admin to another person unless they are first a secondary admin. - Select 'Change Role' and save!
Adding products to a team
- Check that the product you hope to move is not already assigned to a user, or that it hasn't been auto-assigned to a new team. If you aren't sure or can't see the new licence, check out this helpful article.
- Head to Billing & Orders > Subscriptions & Contracts
- Locate your new licence and click Assign to add it to the team of your choice.
- You can also assign free licences to a team via our trusty: By User / By Product locations.
Moving products to a different team
- Assuming you have the correct admin privilege's, you can move products (including Flex tokens) between teams, but you will first have to unassign any seats that have users attached before making the switch.
- Under User Management > By User or By Product, select the team from the dropdown towards the top of the page.
- Now in the top right, click the Settings / gear icon and open 'Team settings'
- Select 'Move Subscriptions to this team'.
- Once you have located the subscription you want to move, click select and then 'Submit'
NOTE: Be mindful of over-assigning seats, make sure you unassign users to free up the 'select button' if it's not immediately available. As always, if issues persist we are happy to help.
Deleting or Merging Teams
At this point in time, you are not able to do either of these yourself if your product is 'Cloud-based'.
Should you wish to Delete a team or Merge two teams into one and aren't sure if your product is cloud-based or if you seem unable to follow the steps below, then please reach out to the Onboarding Team and we would be glad to assist.
Eg. Products that you should be able delete or merge can include your basic AutoCAD, Revit etc, but things such as BIM Collaborate, AEC Collection etc will need our intervention.
Common Issues:
- If the person who actually made the purchase of the new licence is not the primary admin, then a new team may be automatically created for the subscription. Chat to us about merging these teams if you do not want this setup to remain.
- Can't find your new licence? check out this helpful article.
- Even as an admin, you may be limited with what you can do with Teams yourself, please reach out if you want to do maintenance on your teams but aren't able to action it.
- If you have a Premium Subscription or SSO enabled, you may also struggle with moving a subscription. Let us do it for you, it's pretty quick!
